05. Importing and Exporting

Importing

By importing files, such as images, they can be used in reports to customise and brand user output.

To import files, click the Import icon at the top of the screen to open the Saved Reports window.

Select a destination folder by clicking the relevant checkbox and click Choose File to select a file. Click Import to complete the process, or Close to cancel.

The imported file can now be added to reports using the Embed External Entity Component. Please refer to the Report Components chapter for more information.

Exporting

To export a copy of a report or the results of a query, click the Export icon at the top of the screen to open the Export window.

Use the Export As drop-down list to select the required file type, revealing the relevant Report Options and Document Options.

When exporting to a database, the database instance must be running on the same server as CXAIR. This functionality is configured by the system administrator.

Please note that, when exporting to PDF, Apple-only fonts and the Impact font are not supported.

Report Options

Toggle whether row and column headers are exported with the report using the Export Headers option and toggle the display of the query bar contents using the Export Query option.

When exporting a query to Excel, enable the Time Stamp option to add the export date and time to the bottom of the exported file and enable the Automatically Size Columns option to resize columns to fit the contained entries. If this option is disabled, cell contents will be wrapped to account for multiple lines. To export using the original field names as displayed in the source data, enable the Original Names option.

Use the Omitted Fields and Masked Fields drop-down lists to select individual fields to either omit or mask, or use the All button to select all fields. Click None to clear any selected fields.

If exporting to PDF, use the Scale drop-down list to customise how the report will be sized on the output pages. Select a percentage to scale to an exact size, or select Fit to Page to scale to the selected Page Size.

Document Options

Use the Pages From and To textboxes to specify a page range and select the required characters using the Character Set drop-down list.

Specify the boundary between separate, independent regions in plain text using the Delimiter option and enable the Empty Quotes option to add quotes to an empty field. Enabling the Optional Quotes will add quotes around strings if they contain a space.

To remove the hidden characters prefixed to the start of a CSV, disable the Byte Order Mark option.

When exporting a Crosstab with either Hierarchy option selected in the Axes tab to CSV, the Ignore Groups and Hierarchies option will become available. Enable this option to export the report without the hierarchical structure in place.

Use the Fields drop-down list, available when exporting a Crosstab to CSV, to reorder and omit fields and totals. Use the All button to select all fields and totals or click None to clear any selected fields and totals.

When exporting to PDF, the Page Size drop-down list allows the selection of an exact output size and the Orientation can be changed between Portrait and Landscape using the relevant radio buttons.

Email Exporting

With the relevant mail server configuration settings applied by the system administrator, saved Queries and Crosstabs can be emailed in PNG format. For more flexibility concerning the output format, the Report Scheduling functionality is recommended.

Use the relevant checkbox to select the recipients and the Email Subject textbox to control the subject of the generated email. If enabled by the system administrator, use the Add New Recipient option to enter external addresses that are not associated with a CXAIR user.

Enable the Include Signature to add the configured signature to the email, and enable the Hide other email addresses from recipients option to send the emails individually, preventing recipients viewing other recipients.
