# 02. Publishing Forms

Once a form has been created as part of a Project, it can now be distributed in a number of ways.

## Publishing to a URL

To publish a form to a URL, navigate to the appropriate project and click the **Publish to URL** icon.

Click **Publish** at the bottom of the popup window to generate a URL that allows recipients access to the form from a web browser.

To make a form reusable, amend the following to the end of the URL:

**?multi=true**

## Publishing to a Distribution List

To publish a form to a distribution list, navigate to the appropriate project and click the **Publish to Distribution Lists** icon.

Enter a required subject for the email in the **Email Subject** textbox and enter the name of the email campaign in the **Campaign** textbox. To change the template that will be used in the resulting email, select the required entry from the **Select Template** drop-down list.

Enable the **Online Only** option to present recipients with a link to the form that will open in a new browser tab. When enabled, recipients are able to resume form completion using the same link providing the browser cache has not been cleared. When disabled, a HTML file containing the form is downloaded. This option is set by the system administrator.

Select the recipients from the **Distribution Lists** drop-down list and exclusions from the **Exclude Lists** drop-down lists. When multiple distribution lists are created, there may be instances where contacts overlap. To ensure forms are not sent to the wrong recipients, use the **Exclude Lists** option to select those who will not receive the form. The **Number of Contacts** counter will reflect the selections made.

Use the **Start Date** and **End Date** to specify the length of the campaign, if required, and specify how often the form will be distributed during this timeframe using the **Frequency** drop-down list.

Enter a value, in days, for the **Send Reminder** option to automatically send an email a number of days after the **Start Date** for those who have not yet submitted a response. Use the **Closure** textbox to specify a value, in days before the **End Date**, for a final reminder to be sent.

With all required options set, click the **Publish** button to activate the campaign. Responses will be visible in the Submissions screen.

### Excluding Individual Email Addresses

To exclude individual email addresses from a campaign, navigate to the Data Source for the relevant campaign in the CXAIR Admin screens.

Clicking the **Edit** icon will reveal the **Exclude** textbox, where email addresses can be entered separated by a space, tab or carriage return.

### User Permissions

To control access to the CXFORMS interface, there are two user permissions in the CXAIR Users and Groups screens: **CXFORMS Creator** and **CXFORMS Viewer**.

Users with the **CXFORMS Creator** permission are able to create, modify and remove forms and can view all submissions. Users with the **CXFORMS Viewer** permission can only view the Submissions screen for a select number of campaigns.

An important consideration when creating a new campaign is the user that will publish the form, as all associated user groups are assigned to the campaign. To ensure a **CXFORMS Viewer** user can only view selected submissions, simply add the user to a group containing at least one **CXFORMS Creator** user. The **CXFORMS Viewer** user will then inherit the submissions screen access for every form published by the **CXFORMS Creator** user.

## Alerting

Using the Alerting functionality, users can be notified when a certain condition has been met, or not met.

To configure a new alert, navigate to the appropriate form and click the **Alerts** icon. In the subsequent pop-up window, all previously configured alerts for the form are displayed. Click the **Edit** icon to modify a saved alert, or the **Delete** button to remove an alert.

Click **New Alert** to begin the creation process and enter a name for the alert in the **Name** textbox.

Any number of conditions can be set for an alert. To add a new condition, click the **+** icon under the Conditions heading to be presented with three drop-down lists. From the first, select an area of the form that the condition will pertain to. This can be the entire form, or a single component from any stage.

Select **Form** from the first drop-down list to create an alert for when certain users submit the form. This will automatically populate the second drop-down list with **submitted by**, and allow the selection of a user from the third drop-down list.

Select a field from the first drop-down list to create an alert when a form is submitted containing a field in a state of interest, or if it has changed. From the second drop-down list, a state of interest can then be selected. For example, if a checkbox field has been selected, selecting **is** allows a specific option to be selected from the third drop-down list. Additionally, selecting a text field allows a string value to be specified to create alerts for when certain words or phrases are submitted.

To select who will be alerted for all of the configured conditions, move the required users from the **Available Users** list to the **Currently Selected** list. To move users between the lists, use the **left** and **right** arrow icons.
